Advip Professional Services (“Advip”, “we”, “us”) is a business advisory, finance and technology consulting firm registered in Nigeria. We are the data controller for the personal information described in this policy.

We take your privacy seriously. This policy explains what personal information we collect, why we collect it, what we do with it, and the rights you have over it.

2. The law we work under

We handle personal data in line with the Nigeria Data Protection Act 2023 and the directives issued under it by the Nigeria Data Protection Commission. Where we work with clients or partners outside Nigeria, we also observe the data protection requirements that apply in those places.

3. What this policy covers

This policy applies to:

  • People who contact us through the website, by email, by telephone or through social media
  • People who complete our S.T.A.B.L.E.™ assessment
  • People who subscribe to our newsletter or attend our training sessions and events
  • Our clients and the people who work for them
  • People who apply to work with us

It does not cover other websites we link to. If you follow a link away from our site, read that site’s own privacy policy.

4. The information we collect

4.1 Information you give us

  • Contact details: your name, email address, telephone number, business name and job title
  • Enquiry details: whatever you tell us in a contact form, an email or a conversation about your business and what you need
  • Assessment responses: the answers you give in our S.T.A.B.L.E.™ assessment, which describe how your business currently operates
  • Event and training details: your name, organisation, contact details and any dietary or accessibility requirements you tell us about
  • Recruitment details: your CV, work history, qualifications and references if you apply for a role

4.2 Information we collect automatically

When you visit our website we collect limited technical information:

  • Your IP address and approximate location
  • Your browser type, device type and operating system
  • The pages you visit, how long you spend on them, and the site you arrived from
  • Cookie identifiers, as described in section 7

4.3 Client information

When we deliver accounting, bookkeeping, tax, advisory or technology services, we handle information belonging to our clients. This often includes personal data about their employees, customers and suppliers, such as names, contact details, payroll information, bank details and transaction records.

In that work we act as a data processor. We handle the information only on our client’s written instructions, only for the purposes set out in our engagement letter, and under a data processing agreement. Our clients remain the data controller for that information and decide how it is used.

4.4 Information we do not ask for

We do not seek sensitive personal data through our website. That includes information about health, religion, ethnic origin, political views, trade union membership, biometric or genetic data, or sexual orientation. Please do not send us this kind of information through a contact form or an assessment response.

5. Why we process your information

We only process personal data where we have a lawful basis to do so. The table below sets out what we do and why.

Where we rely on your consent, you can withdraw it at any time. Withdrawing consent does not affect anything we did lawfully before you withdrew it.

6. Marketing

We will only send you marketing emails if you have asked to receive them, or if you are an existing client and the message relates to services similar to those we already provide you.

Every marketing email carries an unsubscribe link. You can also email admin@adviprofessionals.com at any time and ask us to stop. We will act on that request without delay.

We do not sell your contact details to anyone, and we do not share them with third parties for their own marketing.

7. Cookies and similar technologies

Our website uses cookies, which are small files stored on your device. We use them for the following purposes:

  • Necessary cookies keep the site working. They handle page caching, security and basic navigation. The site will not function properly without them.
  • Functional cookies remember choices you make, such as details entered in a form.
  • Analytics cookies help us understand which pages people read and how they move through the site.
  • Third-party cookies may be set when content from other services is embedded in our pages, such as Google Maps, Google reviews and YouTube videos. Those services set their own cookies and are governed by their own privacy policies.

You can control cookies through your browser settings. Blocking all cookies may stop parts of our website working as intended.

8. Who we share your information with

We do not sell personal data. We share it only where we need to, and only with organisations that are bound to protect it.

  • Technology providers who host our website, run our email, store our files and support our internal systems.
  • Software partners where we implement a system on your behalf and the configuration requires it, such as Zoho.
  • Professional advisers including our own accountants, auditors, insurers and lawyers, where they need the information to advise us.
  • Regulators and public authorities where we are required by law to disclose information, including the Federal Inland Revenue Service, the Lagos State Internal Revenue Service and the Nigeria Data Protection Commission.
  • A buyer or successor if our business is sold or reorganised, in which case your information would transfer under the same protections set out here.

Every supplier that handles personal data on our behalf works under a written agreement requiring them to keep it secure, use it only as we instruct, and return or delete it when the work ends.

9. Sending information outside Nigeria

Some of the services we rely on store data on servers outside Nigeria. Where that happens, we make sure the transfer is lawful under the Nigeria Data Protection Act. That means the destination country provides an adequate level of protection, or the provider is bound by contractual terms that protect your information to the same standard, or you have consented to the transfer.

10. How long we keep your information

We keep personal data only for as long as we need it, then delete it securely.

Where we hold information on behalf of a client, we keep it for as long as our agreement with that client requires, then return or delete it on their instruction.

11. How we protect your information

We use technical and organisational measures appropriate to the sensitivity of the information we hold. These include:

  • Encrypted connections across our website and email
  • Access controls, so staff can only reach the information their role requires
  • Multi-factor authentication on our business systems
  • Regular backups and tested recovery procedures
  • Confidentiality obligations in every employment and supplier contract
  • Data protection training for our team

No system is completely secure. If a breach occurs that is likely to put your rights at risk, we will notify the Nigeria Data Protection Commission within 72 hours of becoming aware of it, and we will tell you directly where the law requires it.

12. Your rights

Under the Nigeria Data Protection Act 2023 you have the following rights over your personal data:

  • The right to be informed about how we use your information, which is what this policy is for.
  • The right of access to a copy of the personal data we hold about you.
  • The right to rectification if anything we hold is wrong or incomplete.
  • The right to erasure, sometimes called the right to be forgotten, where we no longer have a good reason to keep your information.
  • The right to restrict processing while a concern you have raised is being resolved.
  • The right to object to processing we carry out on the basis of legitimate interest, and to object to direct marketing at any time.
  • The right to data portability, meaning you can ask us to provide your data in a structured, commonly used, machine-readable format, or send it directly to another organisation where that is technically possible.
  • The right to withdraw consent at any time, where consent is what we relied on.
  • The right not to be subject to a decision based solely on automated processing that produces legal or similarly significant effects for you.
  • The right to complain to the Nigeria Data Protection Commission.

13. How to exercise your rights

Email admin@adviprofessionals.com with the words “Data Protection Request” in the subject line, telling us which right you wish to exercise.

We will respond within 7 days. If your request is complex we may need longer, in which case we will tell you why and give you a new date. We do not charge for this, unless a request is clearly excessive or repetitive.

We may ask you to confirm your identity first. That is to make sure we do not give your information to someone else.

14. Complaints

If you are unhappy with how we have handled your personal data, please tell us first at admin@adviprofessionals.com. We would rather put things right ourselves.

15. Children

Our services are provided to businesses and are not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has given us their information, contact us and we will delete it.

16. Photographs at our events

We take photographs and video at our training sessions and events, and we sometimes publish them on our website and social media to show our work. We will tell you when photography is taking place, and you can ask us not to include you. If a photograph of you is already published and you would like it removed, email us and we will take it down.

17. Changes to this policy

We review this policy regularly and update it when our practices change or the law changes. The date at the top shows when it was last revised. Where a change materially affects your rights, we will tell you directly.
